Selecting candidates for a shift in RosterElf
When assigning employees to a shift, you’ll find three main options: Available Candidates, Potential Matches, and All Employees. Understanding each section helps you make the best choice for filling shifts efficiently. This article explains each option and provides tips on when to select employees from each category to maintain a smooth roster.
1. Available candidates for shift swaps and open shifts
Available Candidates are employees who have nominated themselves for a shift, showing their interest in working that particular time slot. This section is especially useful for shift swaps and open shifts, where staff availability is crucial.
Employees listed here are eager to work, making them an ideal first choice when filling a shift. Selecting from Available Candidates first often leads to higher satisfaction and fewer scheduling conflicts.
1.1 Steps to view available candidates
1.1.1 Select the Available Candidates tab in the shift setup.
1.1.2 Review the list of employees who have volunteered.
1.1.3 Choose a candidate to assign to the shift.
2. Perfect matches based on site and position
The Potential Matches tab lists employees assigned to the site and position you’re scheduling. Employees in Green are available for the shift times and are ideal choices within this tab. Staff in Grey, Yellow, or Red have conflicts but may still be visible if no other staff are available.
For additional context, hover over the speech bubble icon to see why certain staff members aren’t available. This insight helps you choose suitable staff for the shift based on availability and site compatibility.
2.1 Steps to view potential matches
2.1.1 Go to the Potential Matches tab when selecting a candidate.
2.1.2 Check for employees marked in Green, indicating availability.
2.1.3 Hover over the speech bubble next to unavailable staff for details.
2.1.4 Select an available employee to assign to the shift.
3. All employees list for emergencies
The All Employees tab includes everyone in your account, regardless of their site or position assignments. This list can be useful during emergencies but should generally be a last resort. Employees here may not be ideally suited to the role or shift location, which can impact efficiency.
3.1 Steps to view all employees
3.1.1 Click on the All Employees tab.
3.1.2 Browse through the entire list to identify potential emergency replacements.
3.1.3 Select an employee only if no other options are suitable.
