NOTE: Roster templates are currently restricted to one site at a time on the weekly view of the roster but expanding its capability is planned for a future release. If this feature is important to your business, please vote for the feature to be prioritised on our feature request board.

Saving a Roster Template

To save a template, filter your roster to one of your sites and ensure you are working on the weekly view of the roster. You will notice some buttons at the bottom of the roster screen will appear.

To the bottom left of your roster screen, Upload Template, which is used to add a saved roster to your current period.

To the bottom right of your roster screen, Save As Template

 

Add any shifts you want to the roster. It doesn't matter if the shifts are drafts or published because when you reuse the template, all shifts load onto the roster as drafts.

Once your roster is ready to save, click the Save as Template button, give it a name and click Save.

If you plan to have several templates, giving your templates a common naming convention is recommended, which could include specifics related to your business. An example for a business with multiple sites and three teams of workers per site that work in cycles between day shift, night shift, and a week off may name their templates - Site Name - Shift Pattern - Crew Name.

Examples:

Warehouse - Day Shift - Crew A
Warehouse - Night Shift - Crew A
Warehouse - Day Shift - Crew B
Warehouse - Night Shift - Crew B
Warehouse - Day Shift - Crew C
Warehouse - Night Shift - Crew C

Upload a Template

To reuse a template, filter your roster to one of your sites and ensure you are working on the weekly view of the roster.

Go to the week you want to add a roster template and click Upload Template.

Select the template you need.

Replace shifts - tick or untick this option based on your preference below:

Ticked - This will delete all the shifts on the roster and load the template onto a clean roster.

Unticked - This will add the template on top of your existing roster. 

Note: When uploading a template into the current period mid-way through the period, only today and future days will be updated.

Layering Templates

To layer templates, use the Upload a Template process above to load your first template and then upload a second template, leaving the Replace Shifts checkbox Unticked. This will add the shifts on top of your existing roster.

Using our scenario from the Saving a Roster Template process at the start of this article. We had the following templates saved using a naming convention of Site Name - Shift Pattern - Crew Name:

Warehouse - Day Shift - Crew A
Warehouse - Night Shift - Crew A
Warehouse - Day Shift - Crew B
Warehouse - Night Shift - Crew B
Warehouse - Day Shift - Crew C
Warehouse - Night Shift - Crew C


I will abbreviate the template names in the table below to keep it clean to read.
