Digital Submission of Availability and Leave Requests
- Availability: Employees can specify their available days and times for shifts directly through RosterElf. This digital submission allows for real-time updates and adjustments, ensuring you're always working with the most current information.
- Leave Requests: Similarly, employees can submit leave requests via the platform. This integration ensures that you're informed of any absences well in advance, allowing for smoother scheduling without last-minute surprises.
Viewing Employee Availability and Leave
To incorporate this vital information into your scheduling, RosterElf offers two intuitive views:
- Display Availability View on the Main Roster Screen: This view allows you to see at a glance who is available for work while you're creating or adjusting a roster. It provides a comprehensive overview, helping you to quickly identify potential scheduling conflicts and adjust shifts as needed.

Perfect Match System for Individual Shifts: When adding a shift, RosterElf's Perfect Match system filters and suggests employees based on their submitted availability and leave requests. This tool helps you to quickly find and assign the right person for each shift, ensuring that you're not only meeting operational needs but also accommodating your team's availability.
Display Availability View on the Main Roster Screen
The first option to easily view employee leave and availability when rostering is on the main roster view.
Step 1. Go to the Roster tab and Navigate to Desired Date Range.
Step 2. Click the "Show Availability" Button on the Top Right of the Screen
Step 3. Visualise Employee Availability and Leave
You can now fully visualise employee availability and approved leave directly on the roster, streamlining the optimisation of shift assignments with the following colour coding:
- Red: On Leave
- Green: Available to Work

Perfect Match System for Individual Shifts
The second option is to view staff availability as you create each shift. Our 'Perfect Match' system will automatically categorise employees to highlight the best selection.
Step 1. Go to the Roster tab and Navigate to Desired Date Range.
Step 2. Click the "+" Icon to Add A Shift
This can be done on the daily, weekly or monthly roster view.
Step 3. Select the Site, Position, Start and End Time.
Step 4: Utilise the 'Select Staff' Dropdown for Optimal Staffing
Click the dropdown menu in the 'Select Staff' field to explore your options.
While manually typing an employee's name is an option, using the dropdown reveals 'Perfect Matches'—employees whose availability aligns with the shift details, ensuring an efficient match for your scheduling needs.
