Copy an existing roster without a template


This article explains how to copy an existing roster without saving it as a template. By following these steps, you can quickly replicate rosters for a selected site without creating a new template. This method is especially useful if you manage schedules across different sites and want a streamlined approach. Note that the current feature allows copying only one site at a time within the weekly view of the roster. If multi-site functionality is important to your business, consider voting for this feature on our feature request board for future prioritisation.


1. Prepare to copy a roster


This section guides you through the initial steps to copy a roster. Before copying, ensure you’re on the weekly view with a single site selected in the site filter. These preparations will ensure you accurately duplicate the roster for the desired time period.

1.1 Check roster view and site filter

1.1.1 Ensure you are in the weekly view of the roster.

1.1.2 Select the desired site in the site filter.

1.2 Find the Copy a Roster button

1.2.1 Locate the Copy a Roster button once you're in weekly view and have one site selected (do not click it yet).


2. Select the roster date range


In this section, confirm the date range of the roster you want to copy. Use the date picker to identify the specific week or period to avoid any errors during the copying process.

2.1 Use the date picker to select dates

2.1.1 Open the date picker at the top of the screen.

2.1.2 Choose the date range for the roster you want to copy.


3. Copy the roster to a new week


Now, you can copy the selected roster to a new week. This will replace all current shifts—both published and drafts—in the new week with those from the copied roster.

3.1 Open the Copy a Roster modal

3.1.1 Navigate to the week you want to paste the roster.

3.1.2 Click on the Copy a Roster button to open the modal.

3.2 Complete the copy process

3.2.1 Choose the desired copy options in the modal.

3.2.2 Click Copy to duplicate the roster into the selected week.

Important Note:

Copying a roster will replace all published and draft shifts in the current week with the copied roster. Only published shifts are transferred from the original roster. If you prefer to add shifts without clearing existing ones or need both draft and published shifts, use the save and upload roster templates option.
